HOW MUCH IS RACE REGISTRATION?

To maximize your registration velocity while managing course capacity under permit guidelines, each race features a tiered registration structure that directly rewards early commitments. By registering early, runners unlock the best possible entry rates before price increases take effect across Tier 1 (Early Bird), Tier 2 (Standard), and Tier 3 (Late/Final) windows. Because total event attendance is strictly capped, individual distance caps are enforced on the registration platform to preserve the runner experience and comply with permitting. Once a specific distance cap limit is met, registration for that tier will close immediately, making early registration essential for securing a bib on your preferred starting line.

WHAT IS YOUR REFUND POLICY?

There will be no refunds of entry fees.  Runners can transfer distances up to the day before the race, no refund for changing down distances, runners increasing distances will have to pay the difference in price. Runners can transfer their entry to another runner, to be used the same year as originally registered. Rollovers permitted due to medical reasons. Pregnant or postpartum runners can request a 1-2 year deferral to a future years' race.

IS YOUR EVENT SUITABLE FOR ALL AGES?

Yes! SWVA Running events are designed to foster a welcoming, family-friendly environment where runners, crews, volunteers, and spectators of all ages can be part of the experience. Our races are open to participants of all ages, provided they (or their parent or legal guardian if they are a minor) can certify that they are medically able to participate, are in good health, and are appropriately trained and prepared for the distance they have selected.

We recognize that age alone does not determine an athlete's experience or readiness, particularly in trail and endurance running. However, participants and families should carefully consider the terrain, distance, elevation, weather, time on course, and other demands of the event when choosing a race distance.

SWVA Running recognizes that some youth athletes have the experience, training, and support necessary to pursue extraordinary endurance goals. Participants under the age of 18 who wish to compete in a 100-Mile distance may be considered on an individual basis and must receive approval from the Race Director. Minor participants are required to have written consent from a parent or legal guardian, execution of all required race waivers by the parent or legal guardian, and notarization of required consent and authorization documents. A responsible adult must also be designated and present during the event, with appropriate authorization to assist with emergency medical decisions if the parent or legal guardian is unavailable. Additional information regarding the athlete's endurance experience, training history, crew/support plan, and preparedness for the demands of the 100-mile course may be requested prior to approval. Registration alone does not constitute approval for a minor to participate, and SWVA Running reserves the right to establish additional safety requirements or decline participation when appropriate. Families considering the 100-mile distance for an athlete under 18 are encouraged to contact SWVA Running prior to registering to discuss the Minor Participation Policy and required documentation.

WHEN IS THE LAST DAY I CAN REGISTER?

Registration deadlines vary by event. Most SWVA Running races keep online registration open through the day before race day, and some events also offer race-day registration when space is available. We always recommend registering early, as individual races or distances may reach capacity, and late registrations may not be guaranteed race swag, such as shirts or other participant items. Check the individual race page for the most up-to-date registration deadline and race-day signup information.

IS THERE CAMPING AVAILABLE?

Camping options vary by SWVA Running event, but camping is available either at the race venue or nearby for each of our races:

  • New River Trail Races: Yes! On-site camping is available to registered runners for a $5 fee and can be added to your registration through UltraSignup.

  • Woodbooger 100: Camping is not available at the race venue, but nearby camping is available at Flag Rock Recreation Area in Norton and within the surrounding Jefferson National Forest.

  • Crystal Springs Trail Races: On-site camping is not available, but camping opportunities are available nearby on National Forest land in Wythe County.

  • Grand Canyon of the South Ultras: Yes! Camping is available at Breaks Interstate Park, and registered runners receive a 10% discount on camping accommodations.

  • Damascus Festival of Miles: Yes! Participants may camp on-site at the Town of Damascus Park, making it easy to stay right in the middle of the race-weekend experience.

 

Because campground availability, reservations, and regulations can vary, we recommend reviewing the individual race page and making camping arrangements early, especially for our destination race weekends.

CAN MY DOG RUN WITH ME?

We love dogs, and you'll often see plenty of four-legged spectators cheering along the course! For the safety and consideration of all runners, volunteers, and trail users, dogs are not currently permitted to accompany participants while racing. Dogs and puppies are welcome to join their humans as spectators where venue and park regulations allow.

That said, we know there are some incredible human-and-canine running teams in our community! One day, we hope to add a dedicated Canicross category at select SWVA Running events, with appropriate rules and safety measures specifically designed for runners and their canine partners. Stay tuned!

DO I GET A SHIRT WITH REGISTRATION?

Most SWVA Running events include a race shirt with registration, and you'll be asked to select your preferred shirt size when registering through UltraSignup. To guarantee a race shirt, you must register at least 14 days before race day.We work with local vendors whenever possible and need adequate time for shirts to be printed and ready for race weekend. Participants who register within 14 days of the event may still receive a shirt if extras are available, but sizes and availability cannot be guaranteed.

Not every SWVA Running event includes a traditional race shirt. Some races, including Grand Canyon of the South Ultras, feature a unique event or finisher item (such as a commemorative mug or glass) instead. Each race is a little different, so check the individual event page and UltraSignup registration details to see what's included with your race entry. We love creating race-specific items that give you something memorable to take home from your SWVA Running adventure!

CAN I PURCHASE RACE GEAR?

Yes! SWVA Running gear and race-specific merchandise are often available for purchase on race day. Depending on the event, you may find shirts, hoodies, hats, stickers, previous race merchandise, and other SWVA Running gear at the start/finish area.

We also occasionally have extra race shirts, finisher items, or other swag available after an event. When inventory allows, these items, as well as additional SWVA Running merchandise, may be available for purchase through our website.

Race-day merchandise and leftover swag are available in limited quantities and sizes, so availability is not guaranteed. Check the individual race page or the SWVA Running online store to see what's currently available.

ARE THERE TIMING MATS?

Timing methods vary by SWVA Running event and distance. Select races use chip timing and may have multiple timing mats positioned throughout the course. At these events, your race bib will contain a timing chip that records your progress as you cross designated timing points.

When timing mats are in use, please be sure to cross directly over every timing mat you encounter. Do not go around them. Do not remove your chip. These checkpoints may be used to record splits, verify that runners have completed the designated course, assist with runner tracking, and produce accurate race results.

Other SWVA Running events or distances may use alternative timing and runner-tracking methods. Race-specific timing information will be provided in the individual event's Race Guide and during pre-race instructions.

IS THE COURSE STILL USATF CERTIFIED FOR THE MARATHON AND 50K DISTANCES? AND WILL THERE BE A MARATHON SPLIT?

Yes. Currently, the New River Trail Races 25K and 50K courses are the only SWVA Running courses that are USATF Certified. The certification is valid through December 31, 2033.

The 50K course also includes a timing mat at the marathon-distance split. Runners completing the 50K will receive an official marathon split time, which may be used as a Boston Marathon qualifying time, provided all applicable Boston Athletic Association qualifying requirements are met.

Our other SWVA Running events are accurately measured and marked for their respective race distances but are not USATF Certified courses.

WHERE CAN I FIND RACE RESULTS?

Race results are available through each event's registration and/or official timing platform. Links to results may also be shared on the individual race page, SWVA Running website, and our social media channels following the event.

IS ALCOHOL ALLOWED AT THE RACE OR ON THE COURSE?

Alcohol policies vary based on the rules and regulations of each race venue:

  • New River Trail Races: No. Alcohol is not permitted at the event.

  • Crystal Springs Trail Races: No. Alcohol is not permitted at the event.

  • Woodbooger 100: No. Alcohol is not permitted at the event.

  • Grand Canyon of the South Ultras: No. Alcohol is not permitted at the event.

  • Damascus Festival of Miles: Yes! This event has a festival-style atmosphere, and beer vendors/trucks may be available on-site for participants and spectators of legal drinking age.

 

Please respect all venue-specific rules and applicable alcohol laws. Alcohol availability and policies are subject to change based on venue requirements, permits, and event operations.

WHAT DOES IT MEAN TO BE A TRAIL SISTERS APPROVED RACE?

Trail Sisters Approved means providing women the race day they deserve by honoring the following commitment:

  • Menstrual products at aid stations.

CAN I HAVE A PACER?

Pacer rules vary by SWVA Running event based on the course, distance, and event format. When pacers are permitted, they may only join their runner at designated locations specified in that event's Race Guide and must follow all applicable pacer rules.

  • New River Trail Races: Pacers are permitted only for 100K and 100-mile participants and may join runners only at designated locations identified in the Race Guide. Pacers are not permitted for the 25K or 50K distances.

  • Woodbooger 100: Pacers are permitted only for 100K and 100-mile participants and may join runners only at designated locations identified in the Race Guide.

  • Crystal Springs Trail Races: Pacers are not permitted for any distance.

  • Grand Canyon of the South Ultras: Pacers are permitted for designated runners/distances and may join only at locations identified in the Race Guide. Please review the current Race Guide for event-specific pacer eligibility and rules.

  • Damascus Festival of Miles: Pacers are not permitted.

 

When pacing is allowed, pacers must comply with all race rules, course-access requirements, and instructions from race staff and volunteers. Please review the individual event's Race Guide before race day, as designated pacing locations and requirements may vary from year to year.

CAN MY FRIEND OR FAMILY MEMBER VOLUNTEER?

Absolutely! Volunteers are an essential part of every SWVA Running event, and we would love to have your family, friends, crew members, or other supporters join us.

Volunteer opportunities vary by race and may include helping with packet pickup, parking, start/finish operations, aid stations, road and trail crossings, runner tracking, course support, setup, cleanup, and other race-day needs. In many cases, we can work with your volunteer's schedule so they can help for part of the event and still have time to crew, spectate, or cheer for their runner.

 

As a thank-you, SWVA Running volunteers receive race-day perks and can earn race credit toward a future SWVA Running event:

  • 1–3 hours of volunteering: Earn a $15 race credit

  • 3+ hours of volunteering: Earn 100% race entry credit toward an eligible future SWVA Running race

 

Volunteer race credits are transferable, so you don't have to be a runner to volunteer! A family member or friend can earn a credit and gift it to their favorite runner for a future SWVA Running event. Volunteer benefits, including race shirts or other volunteer swag, may vary by event based on availability and the timing of volunteer registration.

WHAT DO I NEED TO BRING TO THE RACE?

Required and recommended gear varies by race, distance, terrain, weather conditions, and anticipated time on course, so please review the individual event's Race Guide carefully before race day. The Race Guide will identify any mandatory gear requirements, cupless-race policies, drop bag options, and race-specific recommendations.

Many SWVA Running events are cupless, meaning runners must carry their own reusable or collapsible cup, handheld bottle, hydration vest, or other container to receive fluids at aid stations. When a race is designated as cup less, carrying an appropriate drinking container is required.

Depending on the event, runners may also choose to use a hydration vest or running belt, trekking poles, headlamp, additional lighting, weather-appropriate layers, extra socks, nutrition, and other personal gear. Longer-distance runners may have access to designated drop bag locations where additional clothing, shoes, nutrition, and supplies can be stored.

Footwear recommendations also vary by course. Some SWVA Running events are held primarily on smooth and nontechnical surfaces where road shoes may work well, while our more technical trail races generally call for trail shoes with appropriate traction and protection. Check your Race Guide for course-specific shoe recommendations.

Ultimately, you are responsible for arriving prepared for the distance, terrain, weather, and conditions you may encounter. When in doubt, start with the Race Guide, it will always contain the most current gear requirements and recommendations for your event.

WHAT TYPE OF SHOES SHOULD I WEAR?

The best shoes will depend on the specific SWVA Running event, course conditions, and your personal preference. Our races cover a wide variety of terrain from smooth crushed-gravel rail trails to rugged, technical mountain trails with rocks, roots, mud, steep climbs, and descents.

 

For less technical courses, such as the New River Trail Races and Damascus Festival of Miles, many runners are comfortable wearing road shoes because much of the course is crushed gravel and provides a relatively smooth, forgiving running surface. Trail shoes are also perfectly appropriate if that's what you prefer.

For our more technical trail events, trail running shoes with good traction are generally recommended. Weather can also significantly change trail conditions, so consider recent rainfall and the race-day forecast when making your decision.

Check the individual Race Guide for course-specific footwear recommendations, as we'll provide guidance based on the terrain you'll encounter. If you're unsure and have the option, bring both your road and trail shoes to race weekend so you can make your final decision based on current conditions and what feels most comfortable to you.

Most importantly, race day isn't the best time to experiment with brand-new shoes. Choose footwear you've trained in and know works well for you over your selected distance.

WHAT'S THE ELEVATION GAIN IN EACH DISTANCE?

Elevation varies significantly between SWVA Running events and distances. Our courses range from relatively flat and runnable rail trails to challenging mountain courses with substantial climbing and technical terrain.

Because elevation profiles are unique to each race and distance, please refer to the individual race page and Race Guidefor the most accurate course elevation, profile, and terrain information. When available, we also provide course maps and GPS files so you can review the climbs and descents before race day.

Keep in mind that GPS devices and mapping platforms can report slightly different elevation totals, so any listed elevation gain should be considered an approximate estimate rather than an exact measurement.

We encourage runners to look beyond the total elevation number when preparing. The steepness, length and placement of climbs, technical terrain, and where those climbs occur during your race can be just as important as the total amount of elevation gain.

WHY CAN'T I SEE WHO'S REGISTERED FOR THE RACE ON ULTRASIGNUP?

To prioritize the safety and privacy of all participants, especially women and individuals who may be navigating stalking, harassment, or domestic violence situations, we have chosen to keep the entrant list hidden prior to race day. Unfortunately, it is not uncommon for people to misuse public registration lists to track or target others. By keeping this information private, we aim to create a safer and more inclusive environment for everyone.

Additionally, before the era of online registrations, runners mailed in paper entry forms and never knew who else was racing until they lined up at the start line. We are embracing a return to that tradition and focusing less on who’s racing and more on your own personal journey to the finish.
